VoIP

Two ways to go

 

There are several options on VoIP, the biggest decision is whether to use a Hosted system where the telephone switch itself is held in the cloud or an on premises SIP based system (On-Prem) where you physically hold the switch within one of your offices.   Both systems will allow you to control the Adds / Moves / Changes for users and extensions however the Hosted is easier to use.

 

 

Cost

 

One area that an On-Prem system is better than Hosted is the long term cost.  Short and mid-term Hosted is fine, however when considering the life of switch, in many cases exceeding 15 years, the On-Prem wins out. 

Hosted options range from paying for the handsets upfront and then a monthly licence, or the cost of the handset is included in the monthly licence.

 

 

Recovering from a disaster

 

Hosted does have the benefit of being easier to manage in a disaster – eg flood at your office.  The calls are routed through the switch in the cloud so all calls continue as normal, your callers will still get any Auto-Attendant (press 1 for Sales etc) messages, and Hunt Groups will still work in the same way.   As access to the telephones themselves will be a problem the calls can be either diverted to other phones (including mobiles) or to the Hosted Voice App on smartphones, tablets or PCs using our PhoneAnywhere product.

 

PhoneAnywhere is a unique feature that provides disaster recovery and flexibility. Any other device (e.g. mobile or softphone) can be set to ring whenever your extension is called. If for any reason your extension is unreachable your secondary device behaves exactly like your extension. Features like call recording can still be used when you are out of the office and calls can easily be shuttled between devices e.g. If you have taken a call on your mobile phone and want to move it to your office handset you can do so with a simple star command.

 

Additionally our Hosted is in three separate UK datacenters. Only one of these needs to be up and running for the platform to function. Within each datacentre, the platform is high availability and resilient such that any single component can fail and that site will continue to serve the users that are connected to that site. The configuration is kept in-sync between sites using a back-end Oracle database that replicates changes in one site to the other sites in the network.

 

 

Grow with you

 

Hosted VoIP has other advantages, the ability to grow or shrink with your company and where the phones are located are both of importance.   With a hosted system your staff only need to be connected to the internet via suitable internet line, they could work from home or overseas and still be part of the Hunt and Ring Groups etc.  With an On-Prem system to add phones you may need to add hardware to the switch which has a cost for the card, plus labour to install it and the phone system will be out of action while the upgrade takes place.  With Hosted the upgrade will cost the price of a phone and a licence, easy to measure and no downtime for other staff.

 

 

Internet lines are key to quality

 

For both types of VoIP you will need to have a decent internet connection. FTTC (equivalent to BT’s Infinity product) is lower cost than an EFM line, and generally faster, however it is not dedicated to you so it may fluctuate throughout the day and the repair times can be longer if there is an issue with that line.  Leased Lines are more expensive, however all the speed is yours and as with EFM the upload speeds are the same as download and the repair times are measured in hours rather than days.   In all cases you will need to ensure that there is 100k of upload speed per simultaneous call, 10 staff on the phone at the same time = 1Mbit upload speed.  You can test your speed via www.speedtest.net

Existing phones

 

With most providers existing telephone handsets cannot be reused.   Should you have existing VoIP handsets the manufacturer may update the firmware and make them incompatible with the hosted phone system; while the hosted provider may then be able to make them compatible the manufacturer may then upgrade further within hours so generally not worth the headache for the hosting company or yourself.

 

 

 

Functions & Features

 

Most features you would need from a telephone system, including call recording and integrating with your IT applications for Click 2 dial or Screen pop to show details of the person calling in, are all available on hosted systems.
